What the workspace stores
ContextFriend stores your account details, password hash, workspace memberships, content you add, extracted text, search representations, questions, answers, and operational records. Phone numbers added for WhatsApp access are encrypted at rest. Uploaded source files, including explicit recordings, can be retained.
Who can see it
Workspace members can ask about approved, visible shared knowledge. Workspace managers can review conversations and unanswered questions. Owners control manager access. A conversation with the assistant is not confidential from your workspace managers. Private learner context, where enabled in a separate classroom workflow, is not group knowledge.
How it is processed
ContextFriend is built to run locally: speech recognition, memory, answers and the spoken voice run on your own machine, with no recording and nothing sent to the cloud. This hosted early access pilot is the exception. It uses configured Microsoft Azure AI services and OVH hosting. Azure Global Standard processing may occur outside the EU; this early access service does not promise US-only or EU-only residency. If WhatsApp is enabled, Twilio and Meta also transport messages, media, and replies. This is an online service. Self-hosted local inference is a separate deployment option.
Your choices
Add only information you have permission to share. Tell people before submitting their messages or recordings. Managers can inspect, hide, and delete sources, and revoke member access. Revocation prevents further use; it does not erase messages already sent or automatically delete retained conversation history. Retention settings and backup deletion timing must be agreed for a pilot; there is no promise of instant deletion from backups.
